Privacy Policy
Clubinity provides club operations software for memberships, bookings, events, payments, and member communication. This policy explains how personal information is handled when clubs and members use Clubinity web and mobile features.
1. Who controls your data
The club operating your Clubinity tenant is the primary controller of member information in that tenant. Clubinity acts as the software provider and processor for the club's instructions.
2. Information we process
Based on current Clubinity functionality, data processed can include:
- Account and profile data such as name, email address, mobile number, password hash, and membership status.
- Optional profile fields such as address and Instagram handle.
- Emergency contact details (name, mobile, email, relationship).
- Membership and billing references including Stripe customer, subscription, and checkout session identifiers.
- Booking and event records such as dates, times, courts, signup responses, and payment status.
- Device registration and notification data (device identifier, push token, platform, and registration timestamps) for mobile push notifications.
- Operational metadata such as tenant identifiers and created/updated timestamps.
3. How we use information
- Authenticate users and secure member, tenant, and admin access.
- Provide booking, event signup, membership management, and profile functionality.
- Process payments and renewals through Stripe-hosted payment flows.
- Send service communications such as verification, welcome, and renewal emails.
- Deliver push notifications for booking and event updates where enabled.
- Support operations, reconciliation, and service reliability.
4. Payments
Clubinity uses Stripe to handle payment processing. Payment card details are entered into Stripe-hosted pages and are not stored directly in Clubinity's application database.
5. Sharing and subprocessors
Information may be shared with service providers used to operate the platform, including:
- Stripe (payments and payment verification).
- AWS SES (email delivery where configured).
- Apple Push Notification service and Firebase Cloud Messaging (mobile push delivery where configured).
6. Data retention
Data is retained for as long as required to operate the club service, maintain records, and meet legal or contractual obligations. Clubs may set additional retention expectations in their own member-facing terms.
7. Security
Clubinity uses authentication controls, password hashing, role-based access patterns, and tenant isolation mechanisms. No method of storage or transmission is completely risk free, but we work to reduce risk with reasonable safeguards.
8. Your choices and rights
Members can request profile updates and account support through their club. Depending on applicable law, members may have rights to access, correction, deletion, restriction, or objection.
9. Children's privacy
Clubinity is not directed to children under 13. Clubs are responsible for ensuring lawful collection and use of member information, including youth participation data where relevant.
10. Changes to this policy
This policy may be updated as Clubinity features and legal requirements evolve. Updated versions will be posted on this page with a revised "Last updated" date.
